Cloud-based Quoting Website

Project Overview

Context

This Cloud-based Quoting Website is a new tool built on a data processing platform to enhance the quoting and ordering experience for business partners. This initiative replaces another quoting tool and integrates with a configuration tool to improve self-service adoption.

Goal: Transform the quoting experience while maintaining critical functionalities from existing systems. Thus, empowering partners to create accurate quotes quickly while offering the best pricing and product recommendations.

Role & Responsibilities

As the UX Design Lead, I collaborated with stakeholders, PMs, development teams, and other project teams to create an intuitive quoting experience for business partners. My responsibilities included:

  • User Research & Interviews → Identified pain points, gathered feedback, and ensured alignment with user needs.
  • UX Strategy & Wireframing → Designed a streamlined quoting flow, reducing complexity and improving efficiency.
  • Stakeholder Collaboration →Worked with cross-functional teams to align business goals with user experience outcomes.
  • Leadership → leading and guiding design team by focusing on strategy, vision, and the overall direction of design efforts within the project team as well as focusing on hands-on design work

Challenges & Opportunities

Addressing System Limitations
  • Licensing Costs
  • Legacy System Sunsetting
  • Low Self-Service Adoption → Only 50% of partners use quoting tools independently.
    • Goal: Increase self-service to 70% to reduce seller dependency.
User Pain Points & Solutions
  • Speed & Efficiency → Current quoting process is slow and complex.
    • Solution: Simplify workflows, reduce redundant steps.
  • Accuracy & Data Availability → Missing data leads to incorrect quotes.
    • Solution: Improve system integration and validation.
  • Search Functionality → Too many options, no effective filtering.
    • Solution: Introduce advanced filtering & smart search.
  • Transparency Issues → Lack of visibility into approvals, incentives, and status updates.
    • Solution: Implement clear status tracking & notifications.
Personas & User Needs
  • Primary Users: Business partners who generate client quotes.
  • Secondary Users: Sellers, resellers, and distributors.
  • Key Objective: Provide a quick and efficient quoting tool with increased self-service capabilities.

Design Process

Sprint Framework & Execution
  • Sprint Cycles: 3-week design iterations, including ideation, prototyping, and testing.
  • Stakeholder Feedback: Regular presentations and check-ins for iterative improvements.
  • Development Collaboration: Ensuring feasibility and smooth implementation.
  • Checkpoints: Weekly meetings for updates and decision-making.
Prototyping & Wireframing
  • Designed four interactive prototypes that demonstrates the user experience for the end-to-end quoting process: search and browse, configuration, active cart, and quote.
  • Created videos as back-up for the prototypes and incorporated AI-voiceovers to talk users and stakeholders through each phase of the experience.

Design Solutions

Business Outcomes
  • Platform adoption → Enable sunset of legacy systems.
  • Increase self-service usage by 20% → Reduce reliance on sellers.
  • Reduce time-to-quote & approval → Improve efficiency.
  • Automate incentive validation → Minimize errors in incentive payouts.
  • Enhance transparency → Improve user confidence in the process.
  • Positive user sentiment (NPS) → Drive engagement and satisfaction.
Financial Outcomes
  • Increase seller productivity → Less time spent assisting partners.
  • Boost partner revenue → Higher adoption = more quotes.
